Choosing a Zoho CRM Edition: Where to Start and When to Move Up
Choosing too high an edition wastes money. Choosing too low leaves the implementation stuck halfway. Both are avoidable.
Do not start from the feature list
Start from the process. Write down what must happen automatically, which reports are needed, and how far the screens must be tailored. From that list, the edition you need becomes obvious.
Four things that usually decide the tier
- Automation depth: how many rules, and how complex the conditions.
- Customisation: extra modules, different layouts per team, validation rules.
- Analytics: whether standard reports suffice, or you need cross-module analysis.
- Access control: how finely data must be restricted between teams.
Edition names and limits change over time, so check Zoho's official page for the current list before deciding.
A usually safe strategy
Start one tier above your minimum need, not at the top tier. Run it for three months, note the needs blocked by edition limits, then move up for real reasons.
Count users honestly
Not everyone needs full access. People who only read reports can often be served by a dashboard or portal rather than a full licence. Cost is discussed on our pricing page.
Discounts and purchasing
Buying through an official partner can add benefits and support. See buying direct or through a partner.
