Migrating from Excel to Zoho CRM, Step by Step
Most businesses start a CRM with their data in spreadsheets. Moving it looks easy because Zoho CRM has an import tool. What decides the outcome is the work before and after the import.
Why a straight import rarely works
Spreadsheets grow without rules: one customer appears three times with different spellings, phone numbers are written five different ways, the "status" column holds free notes, and companies and contacts share one row. Importing data like that just moves the mess into a more expensive system.
Step 1: decide the structure before touching data
First decide how Zoho CRM will be used. What separates a Lead from a Contact in your business? Do you sell to companies (Accounts) or individuals? What are your Deal stages? This structure decides where every spreadsheet column goes.
Step 2: gather every data source
Data rarely lives in one file. Collect spreadsheets from each salesperson, contact exports from email, customer lists from the accounting system and notes from other apps. Tag each row with its source so it can be traced.
Step 3: clean the data
- Merge duplicates by email, phone number or company name.
- Standardise phone formats, for example +62 for Indonesian numbers.
- Turn free-text notes into standard picklist values, such as status or lead source.
- Separate company data and people data into different columns.
- Decide what not to migrate, such as contacts that have been inactive for years.
Step 4: map the fields
Build a simple table: spreadsheet column, target Zoho CRM field and the transformation rule. If important information has no home yet, create the custom field before the import, not after.
Step 5: test with a small sample
Import 20 to 50 rows first. Check that relationships between Accounts, Contacts and Deals form correctly, that record owners are right and that nothing is truncated. Fix the rules, then import the rest.
Step 6: import in order and verify
Import in the right order: Accounts first, then Contacts, then Deals and activities. Afterwards, compare record counts and a few totals, such as pipeline value, with the source data.
Step 7: close the road back to the spreadsheet
This is the step most often skipped. After go-live, old spreadsheets become read-only archives and all new data goes into the CRM. Without that decision, the team drifts back to the old files within weeks.
How long migration takes
For one reasonably clean source, migration can take days. For several sources with many duplicates and transaction history, cleaning often takes longer than the import itself. We provide a written assessment before any commitment; see migration services.
