WhatsApp and Zoho CRM Integration: Options, Requirements and Limits
In Indonesia, most sales conversations happen on WhatsApp, and they live on each salesperson’s phone. Here is how to bring them into Zoho CRM, and what to know before you start.
Why WhatsApp needs to be in the CRM
When customer conversations exist only on salespeople’s phones, the company loses three things: the history when someone leaves, a manager’s view of follow-up quality, and the data to measure which channel produces sales. Connecting WhatsApp to Zoho CRM keeps conversations on the customer record, not on a personal device.
Option 1: Zoho CRM’s built-in WhatsApp integration
Zoho CRM has a WhatsApp for Business integration that uses the WhatsApp Business Platform (Meta’s official API). According to Zoho’s documentation, it is available in the trial and all paid editions, and only an administrator can set it up.
What you need
- A verified Meta Business (Business Manager) account.
- A phone number dedicated to the WhatsApp Business Platform. A number already in use on another WhatsApp app cannot simply be reused.
- Meta-approved message templates for messages the business sends first.
Rules that surprise people
- The 24-hour window. CRM users can send free-form replies within 24 hours of the customer’s last message. Outside that window, messages must use an approved template.
- Templates need approval. Templates are submitted to Meta for review. In Zoho CRM’s integration, a template cannot be edited while in review or once approved, so create a new one if the wording changes.
- Meta charges. Meta charges per delivered template message: marketing templates always, utility templates outside the 24-hour window, and authentication templates. Free-form replies within the window are free. Check Meta’s current rates before designing campaigns.
WhatsApp messages are stored in the Messages module and appear on the related lead or contact record.
Option 2: through Zoho SalesIQ or Zoho Desk
If WhatsApp is used mainly for customer service or website chat, Zoho SalesIQ and Zoho Desk can also receive WhatsApp messages through the official API. Several agents can handle conversations, linked to records in the CRM. This suits teams that handle a high volume of inbound messages.
Option 3: third-party extensions
Zoho Marketplace lists several third-party WhatsApp extensions. Some use the official API; others connect the ordinary WhatsApp app or WhatsApp Web. Tools that do not use the official API carry risk: the number can be restricted or banned by WhatsApp, and customer data passes through an additional party. Check how the tool works, its data policy and the developer’s support before installing.
How to choose
A sales team following up leads
Zoho CRM’s built-in integration, with templates for follow-ups and reminders.
A service team with many inbound messages
Zoho Desk or SalesIQ, with conversations distributed across agents.
Salespeople who want to keep personal phones
Handle with care: this is usually a habit and policy issue, not a technology one.
Recommended implementation steps
- Decide which number moves to the WhatsApp Business Platform and who uses it.
- Set up and verify the Meta Business account.
- Design templates for follow-ups, confirmations and reminders, and submit them for approval.
- Connect to Zoho CRM and set who can see which conversations.
- Add automation, such as a follow-up template when a lead status changes.
- Train the team, including the 24-hour rule and when to use templates.
Summary
A WhatsApp and Zoho CRM integration is very useful, but it is more than connecting two apps. Decisions about the number, templates, costs and team habits come first. To discuss the right option for you, book a discovery call.
