Zoho CRM for Property Developers and Agents in Indonesia
Property sales involve many parties, long cycles and staged payments. Here is how to structure the process in Zoho CRM so every lead, unit and payment can be tracked.
The typical challenges of property sales
- Leads arrive from exhibitions, social media ads, property portals, agents and referrals.
- One prospective buyer may come through several agents at once.
- Unit status (available, reserved, sold) must be accurate for every team at all times.
- Payments are staged: booking fee, down payment, instalments or a mortgage (KPR).
- Management needs reporting by project, tower or unit type.
The structure we recommend in Zoho CRM
Leads and their sources
Every lead is recorded with a standard source, so advertising and exhibition spend can be compared with the sales it produces.
A Units module
A custom module holding project, tower, floor, type, size, price and status. Deals link to units, and unit status changes automatically when a booking is confirmed.
Deals per buyer and unit
Stages such as site visit, negotiation, booking, signing (akad) and handover, with rules for what must be filled in at each stage.
Payment schedules
Payment terms are recorded per deal, with automatic reminders before due dates. If finance uses Zoho Books, invoices can be created from the same data.
Managing agents and channel partners
External agents are often the largest source of sales and the largest source of disputes. Lead-ownership rules need to be clear: who registered the buyer first, how long that right lasts and how commission is calculated. Zoho CRM can record the agent on each deal, prevent duplicate buyers and prepare commission data. Agent access can be restricted so they see only their own records.
The most useful automations
- Automatic lead assignment to salespeople by project or area.
- Follow-up reminders when a lead has not been contacted within a set time.
- Automatic unit status changes when a booking is confirmed or cancelled.
- Quotations and order letters generated from templates.
- Payment due-date reminders to finance and to the buyer.
The reports management needs
With structured data, management can see sales by project, remaining units by type, conversion by lead source, performance by salesperson or agent, and projected cash receipts from payment schedules. For cross-app reporting, Zoho Analytics can combine CRM and finance data.
Where to start
- Map the flow from lead to handover, including the agents’ role.
- Prepare unit data for the projects currently on sale.
- Build the pipeline, the units module and the stage rules.
- Add automation and connect lead channels.
- Train salespeople, agents and admins for their roles.
