Zoho Inventory for Multi-Warehouse Businesses: How to Set It Up
Stock spread across several warehouses, shops or marketplaces easily becomes inaccurate. Zoho Inventory is built to record stock by location, but the result depends on how you organise your data.
Start with item data, not the app
Stock quality depends on the item list. Inconsistent SKUs, one product with two names, or unstructured variants will produce wrong stock figures at every location. Tidy SKU codes, units and variants before importing.
One location for each physical place
Create locations or warehouses in the system to match where stock is really kept: main warehouse, shop, consignment point. A simple rule: if stock can be counted separately there, it deserves its own location. Also decide the default location for online sales.
Stock movements that must be recorded
- Purchases and goods receipts.
- Sales: from sales order, to packing, to shipment.
- Transfers between warehouses through a transfer document, not by editing stock figures.
- Stock adjustments for stock-take differences, with the reason recorded.
The most important rule: every stock change has a document. If a figure is changed without one, the audit trail is lost.
Scheduled stock counts
Count physically on a regular schedule, not only when there is a problem. Count by location, compare with the system, and record differences as adjustments with a reason. If differences repeat at the same location or item, look for the cause in the process rather than just adjusting the number.
Connecting to online sales and accounting
Zoho Inventory can connect to other Zoho apps and to several sales channels. Connector availability for specific marketplaces varies, so first check whether your channel is supported directly or needs a custom integration; see our integration service. If you also use Zoho Books, connect the two so inventory value and cost of goods stay aligned; also read Zoho Books for Indonesian businesses.
Checklist before go-live
- The item and SKU list is clean and has an owner.
- Opening stock for every location was counted physically on the same date.
- Receiving, sales, transfer and adjustment flows were tested with sample transactions.
- Warehouse staff are trained to use documents, not to edit stock.
- The first stock count is scheduled.
