The Annual Zoho Audit: A Half-Day Checklist

Business systems do not break suddenly. They sprawl slowly, until one day nobody dares change anything.

Users and access

  • Inactive accounts still holding licences.
  • Users with administrator rights they do not need.
  • Records owned by people who have left.
  • Two-factor authentication for all users. See account security.

Data

  • How many duplicate contacts and companies exist.
  • Open deals untouched for more than 90 days.
  • Mandatory fields that are often empty.
  • Pick lists whose options are no longer relevant.

Automation

  • Rules that have not fired in the past year.
  • Rules that collide or fire twice.
  • Notifications everyone ignores, a sign the content is useless.
  • Integrations failing quietly.

Reporting

  • Dashboards nobody opens.
  • Reports still built by hand in spreadsheets, a sign of an unmet need.
  • Metric definitions that differ between teams.

Configuration

  • Fields and modules built for an old project and now unused.
  • Layouts so long that users scroll without reading.
  • Configuration documentation that is out of date.

Close with three decisions

Pick the three fixes with the largest impact, name owners and deadlines. An audit that produces fifty unprioritised findings never gets done. See Zoho audit and Zoho fixes.
