The Tax Invoice Workflow in the Coretax Era: Fixing Data Before Upload
The most common complaint since Coretax went live is not about rates, it is about mismatched data and failed uploads.
The problem is usually the data, not the system
Coverage of Coretax focuses on upload capacity and outages. What you can control is data quality: customer identity, address, serial numbers and the naming of goods or services. Inconsistent data gets invoices rejected or forces corrections.
Tidy up before you copy anything
- Customer identity. Store the tax and identity numbers of corporate and individual customers in dedicated fields in the accounting system, not in a notes column.
- Official names. Use the name on the documents, not the nickname the sales team uses.
- Goods and services list. One name per item, with consistent units.
- Addresses. Complete and consistently written.
Pick one source of truth
If customer data lives both in the CRM and in accounting, decide which one leads. Usually sales data is born in the CRM and flows into accounting when a deal closes, so nothing is retyped. See Zoho Books and Zoho CRM.
Check before uploading
Tax consultants have complained about the lack of a preview before upload, so mistakes only surface after the invoice is issued and a replacement is needed. So build your own check: a report showing this month's invoices with empty required fields, before anything is uploaded.
Who owns it
Name one person who reviews that list every week. Five minutes a week is far cheaper than fixing invoices at month end.
A note
Tax administration rules change over time. Follow official announcements from the tax authority and your tax consultant for current obligations. The background is covered in Zoho Books for VAT and Coretax.
