CRM for Logistics Companies: Quotes, Rates and Contract Customers
In logistics, how fast you quote often matters more than a few percent of price difference.
The core problem is repeated quoting
Customers ask for rates on the same routes again and again. If every quote is built from scratch in a spreadsheet, it is slow and prices differ between staff.
Organise the rate card first
- Rates by route, service type and weight or volume.
- Validity dates and who may change them.
- Applicable surcharges and their conditions.
- Special rates for contract customers.
With an organised rate card, quoting becomes selection rather than recalculation.
Separate transactional and contract customers
One-off shippers need speed. Contract customers need periodic reporting, volume monitoring and rate reviews. Their pipelines and reminders differ, so design them separately in Zoho CRM.
Status questions are the biggest load
"Where is my shipment" is the most frequent question. The answer usually lives in the operational system, not the CRM. What helps is one service queue holding the conversation history and request status, linked to operational data. See our integration service.
Numbers that change decisions
Time from request to quote, quote acceptance rate by route, customers whose volume is falling, and repeat complaints by cause.
Start with quoting
The fastest felt improvement is in the quoting process. Expand to customer service after that.
