CRM for Schools: Organising Admissions and Parent Communication

New student admissions pile into a few months. The institution that loses is usually not the one with the weaker programme, it is the slower one to reply.

Treat admissions as a pipeline

The stages are clear: enquiry, visit or information session, application, test or interview, offer, payment, enrolment. Every prospect has an owner and a next follow-up date. Without this, a question arriving by WhatsApp at night disappears.

Response speed decides a lot

Measure first response time and set a target. Replying within an hour during working hours moves conversion more than redesigning the brochure.

Parent communication after acceptance

Once admission is done, the relationship continues. Announcements, invoices, schedules and complaints need one recorded channel. If everything runs through group chats, nobody can trace what was promised to whom.

Children's data is sensitive

Information about children needs careful handling: restricted access, no circulation through spreadsheet exports, and keep only what is needed. See the principles in the PDP law and your CRM and confirm your legal obligations with your adviser.

Numbers worth watching

Enquiries by source, conversion from enquiry to enrolment, reasons prospects withdraw, and admissions team workload per week.

The parts that are often unusual

Test scheduling, document tracking and re-enrolment processes are often non-standard, and can be built with Zoho Creator.
