Sales Dashboards in Zoho Analytics: The Numbers a Business Owner Should See
A dashboard that shows everything is as useless as having none. A business owner needs a few numbers with clear definitions, viewed at the same time every week.
Start with a question, not a chart
First ask: what decision do you want to make every week? For example whether to add salespeople, improve follow-up, or collect payments faster. The dashboard is built to answer that question.
Six sales numbers to start with
- Pipeline value by stage: how much potential revenue sits in each stage, and where it piles up.
- Win rate: the percentage of closed deals that were won.
- Sales cycle length: the average days from lead to won deal.
- First response time: how long from a lead arriving to first contact.
- Sales against target: the current month's actuals compared with target.
- Overdue receivables: if you use Zoho Books, invoices past their due date.
How the data gets in
Zoho Analytics can pull data from Zoho CRM and Zoho Books and combine it in one report, so sales and collection figures can be seen side by side. The result is only accurate if data in the CRM is filled in with discipline: stage, deal value and closing date must always be kept up to date.
Write down the definition of every number
Is a "won deal" counted at signature or at first payment? Is "sales cycle" counted from when the lead was created or from first contact? Without written definitions, two people will read the same number with different meanings. Put the definitions on the dashboard itself.
Mistakes that get dashboards abandoned
- Too many widgets: five to seven is enough for one dashboard.
- Numbers differ from the CRM reports because the definitions differ.
- No review schedule; a dashboard that is not discussed regularly will not be looked at.
- Built before the data is clean, so everybody stops trusting it.
A 15-minute weekly review
Pick a fixed time each week, look at the same dashboard, and decide one action. This habit is worth more than a sophisticated dashboard.
We build dashboards like these with Zoho Analytics and Zoho CRM implementation. The follow-up rules that improve these numbers are covered in sales follow-up automation.
