Zoho CRM, HubSpot or Salesforce: How to Choose for an Indonesian Business
"Which CRM is best" has no general answer. There is only the CRM that best fits a particular process, team and budget. Here is how to weigh it.
A statement of interest
We are a Zoho Authorized Partner, so we have an interest. That is why this article gives you questions to answer rather than a claim that one product is better. Prices and features of all three products change over time, so check each vendor's official pages before deciding.
1. How large and how complex is your team?
A small team with a simple process can run on almost any CRM. The differences only become noticeable with many roles, multi-step approvals, several business lines or complicated reporting needs.
2. How specific is your sales process?
If the process is standard, the default configuration is enough. If it is full of exceptions, assess the customisation options: fields, rules, automation and, where needed, programming. Also ask who will maintain it after go-live.
3. Does the CRM need to connect to other systems?
A CRM rarely stands alone. If you also need accounting, inventory or a help desk, a single-vendor ecosystem, such as the Zoho family of apps, reduces the connections you must build. If you are already happy with another system, ask how easily a new CRM connects to it.
4. What is the total cost?
Compare more than the per-user licence price: the add-ons you need, implementation, integrations, training and internal time. Compare for the number of users and the edition you actually need, not the cheapest plan on the pricing page. See Zoho implementation cost.
5. What local support is available?
Consider language, time zone, the availability of implementation partners in Indonesia, and how easily the system adapts to local needs such as WhatsApp, tax and the rupiah.
6. Who will own and maintain the system?
The best CRM on paper still fails if nobody owns it and the team does not use it. See why CRM implementations fail.
7. How costly is it to switch if you get it wrong?
Ask how you can export your data and how long migrating out would take. A reversible choice is safer than one that locks you in.
When you should not switch
If your team already uses a CRM and is happy with it, switching is not necessarily worth it. Problems blamed on the product often turn out to be process or data problems. If in doubt, a process assessment through a consultation costs less than a migration.
