Zoho One or Individual Apps: Which Is Right for Your Business?
Zoho One looks attractive because it bundles many apps into one subscription. But more apps also means more implementation decisions. Here is how to weigh the two.
What Zoho One is
Zoho One is a subscription bundle covering many Zoho apps for sales, marketing, finance, HR, customer service, collaboration and analytics, with one admin panel and one user directory. The app list changes over time, so check the current list on Zoho’s website.
Two Zoho One licensing models
All Employee Pricing
One licence model for the whole company, on condition that every employee in the organisation is licensed. Zoho states that if unlicensed employees are found, the company will be asked to license them or switch models.
Flexible User Pricing
Licences only for the users who need them. A fit when not every employee uses the system.
This rule matters for businesses with many field or production staff who do not use computers. Choose the model at the start with your partner.
When individual apps are enough
- Your main problem is in one function, such as sales or bookkeeping.
- Your team has never used a structured system and needs to start simple.
- Other functions already run well on other systems.
- You have few users and few integration needs.
When Zoho One makes more sense
- You need three or more Zoho apps, for example CRM, Books, Desk and Analytics.
- Data must flow between functions: from sales to invoices, from invoices to management reports.
- You want one user directory and one place to manage access.
- The combined cost of individual apps is close to or above Zoho One.
The risk people overlook
The biggest risk with Zoho One is not the price; it is switching on too many apps at once. Teams get overwhelmed, data spreads into apps nobody designed, and no single process is actually finished. Zoho One works best rolled out in stages: one or two core processes first, then the next app once the team is comfortable.
How to decide
- Write down the three processes that cause the most problems.
- Identify the Zoho apps needed for those three processes.
- Count users per app and compare individual licence costs with Zoho One.
- Plan the order of implementation, not just the list of apps.
We help with this calculation during consulting. Zoho One implementation details are on our Zoho One page.
