The challenge: a proposal process with too many manual steps
For a retreat and wellness business managing customer enquiries and commercial proposals, preparing a proposal involves more than entering a price into a document.
Sales teams need to maintain accurate customer information, retreat dates, venue preferences, participant numbers, room requirements, occupancy rates, inclusions and payment terms. That information must then be reflected consistently in the quotation and the final customer-facing proposal.
When CRM data and proposal documents are handled separately, several risks emerge:
- Repeated manual data entry can introduce inconsistencies.
- Pricing and package details may not match the latest quotation.
- Proposal documents can become difficult to trace back to the correct customer opportunity.
- Sales opportunities may progress without clear confirmation that the required commercial documents are ready.
The underlying issue was not simply document creation. It was the need for a more structured connection between the sales process and its supporting documents.
The approach: start with the business process
Our approach begins with understanding how the business operates before adding more software or automation.
We worked on enhancing the Zoho CRM quotation process so that the information required for a retreat proposal could be maintained centrally and reused in the proposal document. The objective was to reduce repetitive work, improve consistency and establish a clearer relationship between the sales opportunity, its quotation and its supporting proposal.
The solution: connecting Zoho CRM and Zoho Writer
1. Structured quotation data in Zoho CRM
We configured additional Quote fields to capture the commercial and operational details needed for the proposal, including:
- Customer and contact information
- Preferred retreat venue
- Estimated arrival and departure dates
- Number of participants and rooms
- Single and double occupancy gross and net rates
- Venue pricing and guest ticket pricing
- Package inclusions and payment terms
This provides a structured source for the information required to prepare the proposal.
2. A reusable proposal template in Zoho Writer
We prepared a Zoho Writer mail-merge template based on the client’s proposal format. The template uses designated merge fields to populate the document with information from the quotation, reducing the need to re-enter the same details manually. The intended result is a more consistent proposal preparation process while retaining the client’s document structure and presentation.
3. PDF generation and quotation attachment
We tested a function-based process that retrieves the relevant Quote record, supplies its data to Zoho Writer, generates a PDF and attaches the resulting document back to the corresponding Quote. The document is named using the Quote Number, making it easier to identify and retrieve. The process was tested successfully for PDF generation and attachment to the Quote record.
4. Identifying the missing control in the sales pipeline
During the workflow review, we identified an additional process gap: a sales opportunity could move from Proposal to Negotiation without an enforced check that the required quotation and proposal document were available.
We defined a further enhancement to require the proposal PDF to be attached to both the Quote and the related Deal before the opportunity progresses. This introduces a document-readiness checkpoint into the sales process. The Blueprint enforcement and verification of both attachments remain subject to implementation and testing.
The business value
The work establishes the foundation for a more consistent, traceable proposal workflow.
Less repetitive data entry
Structured CRM fields can be reused in the proposal template instead of being manually re-entered.
More consistent commercial documents
The proposal draws on the relevant Quote data, helping reduce discrepancies between CRM records and generated documents.
Improved document traceability
The generated PDF can be attached to its originating Quote, with the related Deal included in the planned document-control enhancement.
A clearer sales process
The identified stage-control gap provides a concrete basis for preventing opportunities from advancing before required documentation is ready.
A foundation for further automation
The tested generation process and proposed validation controls provide a basis for evaluating additional automation without redesigning the entire sales process.
The Zirafah Zenith difference
We believe a CRM implementation is not complete simply because the software is configured. The business process must also work. Information needs to flow between records and documents, users need a clear operating procedure, and the system should support the decisions people make every day.
In this engagement, the focus was not merely on creating a proposal PDF. It was on improving the relationship between quotation data, customer-facing documents and the sales pipeline, and identifying the control required to make that process more reliable.
Installed is not Implemented.
