Customer and Vendor Portals: When They Are Worth Building

Every "what is the status of my order" question is work that the person asking could have answered themselves.

Signs a portal will pay for itself

  • The same status question arrives dozens of times a week.
  • Partners send data in spreadsheets that must be retyped.
  • Documents go back and forth by email with no clear version.
  • Customers ask for history that already exists in your system.

What is usually enough inside

For a customer portal: order or ticket status, documents, invoice history and a way to raise a new request. For a vendor or partner portal: sales data submission, invoice submission, and payment status. Start with the one or two things asked most, not with everything.

Questions that shape the design

  1. Who logs in, and how are they identified?
  2. What data may each party see?
  3. What may they change, and what is read-only?
  4. What happens when they submit wrong data?

The third and fourth are skipped most often, and cause the most trouble.

How to build it

Some Zoho apps include built-in customer or vendor portals. When the need goes beyond that, a portal can be built with Zoho Creator on the same data.

Do not forget adoption

A portal partners do not use is cost without benefit. Make logging in easy, make the contents useful to them and not only to you, and close the old route gradually once the portal is proven.
