When a Spreadsheet Stops Being Enough for Your Business
Spreadsheets are not the enemy. They are an excellent tool, until your business crosses a line without noticing.
A spreadsheet is still right when
One person maintains it, the data does not change hourly, the decisions resting on it are small, and it holds no large volume of personal customer data.
Seven signs you have crossed the line
- Several versions exist with names like "final revision 3".
- Two people edit the same data and overwrite each other.
- You cannot tell who changed a number, or when.
- The monthly report takes more than a day to assemble.
- A formula broke and nobody dares fix it.
- Customer data travels by chat and email.
- A simple question such as "how much is unbilled" takes real effort to answer.
Three or more of these is a clear signal.
Work out the hidden cost
Estimate the hours spent each month tidying, reconciling and assembling reports, then multiply by the cost of that time. Add the cost of last year's mistakes. The number usually surprises people and makes the comparison with system cost honest. See Zoho implementation cost.
Do not move everything at once
Move the single most painful process first, usually sales or invoicing. Spreadsheets can stay for one-off analysis, because they are genuinely good at that.
First step
Clean the data first, because dirty data stays dirty after a move. See migrating from Excel to Zoho CRM.
